Configuring screen timeouts and using progressive information saving.
Optimising app settings to prevent data loss during entry.
Writing detailed progress notes or completing complex incident reports can take time. If your smartphone screen turns off or the app sessions time out mid-entry, you risk losing unsaved data. This guide explains how to manage your device settings and utilize Platform for Care’s internal logic to ensure your documentation is always protected.
1. Adjusting Your Device Screen Timeout
The most common cause of data loss is the phone’s "Auto-Lock" or "Screen Timeout" setting, which puts the device to sleep after a period of inactivity.
- For iOS (iPhone): Go to Settings > Display & Brightness > Auto-Lock. Increase the time to at least 5 minutes, or select "Never" while you are actively documenting.
- For Android: Go to Settings > Display > Screen Timeout. Select a longer duration (e.g., 5 or 10 minutes) to prevent the screen from cutting out while you are typing or dictating notes.
2. Understanding Platform for Care Auto-Saving
The Platform for Care mobile app includes background logic to help mitigate data loss, but it is important to understand how it triggers:
- Draft Persistence: When you type into a Progress Note field, many versions of the app retain that text locally even if the screen dims. However, this is a "temporary" cache.
- The "Save" Trigger: To officially commit your notes to the system, you must tap the Save, Update, or Submitbutton.
- Navigation Safety: If you attempt to navigate away from a shift screen while a note is partially typed, the app will typically trigger a warning: "You have unsaved changes. Do you want to discard or stay on this page?"Always select Stay and save your work.
3. Best Practices to Prevent Data Loss
To ensure your clinical or administrative documentation remains secure, follow these professional habits:
- Save Frequently: If you are writing a particularly long note, tap Save every few sentences. You can always go back into the note to add more information.
- Use Voice-to-Text: Dictating your notes is often faster than typing, reducing the window of time where the screen might time out.
- Check Battery Levels: Many phones enter a "Power Save" mode when the battery is low, which aggressively shortens the screen timeout and may disable background syncing. Ensure your device is sufficiently charged before starting your documentation.
- Complete Before Departure: Always finalize and submit your shift data before moving into a "dead zone" (area with no reception) to ensure the final sync occurs successfully.
4. Session Management & Logouts
For security and HIPAA/Privacy compliance, the app may require you to log back in after a long period of inactivity.
- Manual Logouts: Never log out of the app if you have a "Pending Sync" notification. This could clear the temporary cache of any unsaved notes.
- Re-Authentication: If the app asks for your password or biometric ID again, your current "Draft" notes are usually preserved. Simply log back in to resume where you left off.
Troubleshooting Timeout Issues
- Notes Disappeared: If your screen timed out and the note field is empty, try refreshing the page. If the note was saved locally, it may reappear.
- App Crashed: If the app closes unexpectedly, reopen it immediately. Platform for Care often recovers the last known text entry upon relaunching the shift.
- Keyboard Blocking View: On some smaller screens, the keyboard may hide the "Save" button. Scroll down or collapse the keyboard to ensure you can reach the save action.
