How do I add my weekly availability?
Setting your general recurring work hours and days.
Maintaining an up-to-date availability profile is the best way to ensure you are assigned shifts that fit your schedule. By setting your recurring weekly availability in Platform for Care, you inform your administrators and coordinators of exactly when you are free to work, reducing the need for manual schedule adjustments.
1. Accessing the Availability Menu
Your availability is managed directly through your employee profile in the mobile app or web portal.
- Log in to the Platform for Care app.
- Navigate to your Profile or Settings menu.
- Select the Availability tab.
2. Setting Your Recurring Weekly Pattern
This section allows you to define a standard "base" schedule that repeats every week.
- Select the Day: Click on a day of the week (e.g., Monday).
- Add Availability Slot: Click the "+" icon or Add button.
- Define Times:
- Start Time: Enter the earliest time you can begin work.
- End Time: Enter the time you must finish by.
- All Day: Toggle this on if you are available for a full 24-hour period.
- Repeat: Ensure the "Recurring" or "Weekly" option is selected so this pattern applies to all future weeks.
- Save: Click Save to update your profile.
3. Managing "One-Off" Unavailability
If you have a specific appointment or event that deviates from your normal weekly pattern, you should mark yourself as unavailable for that specific date.
- In the Availability menu, navigate to the specific date on the calendar.
- Select the time slot you are not available.
- Choose Mark as Unavailable.
- Provide a Reason (Optional): If requested by your employer, add a brief note (e.g., "Doctor's appointment").
- Submit: This will immediately notify the rostering team and highlight your profile as "Unavailable" if they attempt to assign you a shift during that time.
Why Keeping Availability Updated Matters
- Auto-Matching: When coordinators use the "Suggest Employee" tool, the system automatically filters out anyone who has marked themselves as unavailable.
- Compliance: It prevents "clashing shifts" where you might accidentally be rostered for two services at once.
- Reliability: It reduces the number of shift rejections, helping the organisation maintain consistent care for clients.
Troubleshooting Availability
- Clashing Shifts: If you are already rostered for a shift, you cannot mark that specific time as "Unavailable" without first contacting your supervisor to be removed from the shift.
- Template Conflicts: If your organisation uses fixed work patterns (roster templates), your availability serves as a guide, but you may still need to communicate directly with your manager regarding permanent contract changes.
