How do I confirm a shift request?
The process for accepting a vacancy or shift invitation.
When a shift becomes available or a coordinator specifically invites you to work, you will receive a Shift Request or Vacancy Alert. Promptly confirming these requests helps the rostering team fill gaps quickly and ensures you secure the hours you want.
1. Receiving a Shift Invitation
There are two ways you will typically be notified of a shift request:
- Push Notification: A real-time alert will appear on your mobile device. Tapping this will take you directly to the shift details.
- The Vacancy Tab: You can manually check for available work by navigating to the Vacancies or Available Shifts section in the main menu of the app.
2. Reviewing the Shift Details
Before accepting, it is important to review the requirements to ensure you are available and capable of performing the work.
- Open the Shift Request.
- Check the Date and Time: Confirm it does not clash with your existing schedule or personal commitments.
- Check the Location: Ensure you can commute to the service site.
- Check the Client/Service Type: Review the specific care needs or role requirements (e.g., if a specific skill or medication competency is required).
3. Accepting or Declining the Shift
Once you have reviewed the details, you must take action to move the shift into your personal roster.
- To Accept: Click the Accept or Confirm button.
- Once clicked, the shift is instantly assigned to you.
- The shift will move from the "Vacancies" list into your Personal Roster.
- The coordinator will receive an automated notification that the vacancy has been filled.
- To Decline: Click the Decline or Not Interested button.
- This removes the request from your view.
- It allows the coordinator to offer the shift to another qualified staff member immediately.
4. Shift Bidding (If Enabled)
In some organizations, multiple staff may be invited to the same vacancy. This is known as Shift Bidding.
- Logic: The shift is not "first-come, first-served." Instead, you submit your interest.
- Process: Click Express Interest. The coordinator will then review all interested staff and manually assign the shift to the most suitable person.
- Outcome: You will receive a follow-up notification if the coordinator selects you for the shift.
Troubleshooting Shift Requests
- The shift disappeared: If you saw a notification but the shift is no longer in your Vacancy list, it usually means another staff member accepted it first or the coordinator cancelled the request.
- Accidental Acceptance: If you accept a shift by mistake, you cannot "un-accept" it through the app. You must contact your rostering manager immediately to be removed from the shift.
- Expired Documents: If your mandatory documents (like a First Aid certificate) have expired since your last shift, the system may prevent you from accepting new requests until they are updated.
