Configuring these rules ensures that the right people are alerted at the right time regarding roster changes, compliance updates, or system events.


Accessing Notification Settings

Notification logic is typically managed within the individual modules where the action occurs (e.g., Rostering or Employee Management) to ensure alerts are contextually relevant.

  1. Navigate to Admin in the main menu.
  2. Select System Settings (or Notification Rules, depending on your permission level).
  3. Here you will find a list of system-triggered events that can be toggled on or off.

Defining Trigger Logic

The system uses "If-This-Then-That" logic to send alerts. Common triggers include:

  • Shift Vacancies: When a new shift is published, the system can automatically notify all qualified workers.
  • Shift Cancellations: Notifies the assigned employee immediately if a client or administrator cancels a shift.
  • Compliance Expiry: Triggers an alert to the administrator and the employee 30 days before a mandatory document (like a WWCC or First Aid certificate) expires.
  • Timesheet Submissions: Alerts the payroll administrator when a staff member submits a manual timesheet for approval.

Configuring Messaging Channels

For each business rule, you can define how the notification is delivered:

  1. Email: Best for formal records and compliance alerts.
  2. SMS: Ideal for urgent shift changes or last-minute vacancies.
  3. Mobile Push: The most effective way to reach field staff using the Platform for Care mobile app.
  4. In-App Dashboard: A notification badge that appears when the user logs into the web portal.

Can I limit notifications to specific teams? Yes. Business rules can often be filtered by Service Type or Location, ensuring that administrators only receive alerts relevant to their specific department.

Why are my staff not receiving SMS alerts?

  • Profile Settings: Ensure the employee’s mobile number is formatted correctly in their profile.
  • Credit Balance: Check if your organisation has sufficient SMS credits (if applicable).
  • Opt-out: Verify the worker hasn't disabled notifications in their mobile app settings.

Can I customise the wording of the alerts? Yes, most notifications use templates. Go to Admin > Communication Templates to edit the default text for automated messages.
