How do I view roster alerts for penalty rate violations?
Identifying budget/award breaches in the schedule.
Managing a large workforce requires constant vigilance to ensure rostered shifts align with award rules and budget constraints. Platform for Care provides built-in financial summaries and visual indicators to help you identify cost overruns and compliance warnings before shifts are completed.
Understanding Roster Compliance and Costs
The system calculates potential roster costs based on the Award Rules and Penalty Rates configured in your administrative settings. By monitoring these alerts, you can ensure that scheduled shifts do not inadvertently breach budget limits or award compliance standards.
How to View Roster Alerts and Costs
To audit your schedule for potential violations or high-cost shifts, follow these steps:
- Navigate to Rosters: Select Rosters from the main menu.
- Select Your Roster Type: Choose the relevant service view, such as Individual Service, Group Activity, Accommodation, or Workforce.
- Apply Filters: Specify the Service, Activity, or Client you wish to audit and click View Live Roster.
- Enable Cost Visibility: Tick the box labelled Include Roster Costs at the top of the roster overview.
- Note: This feature is access-level driven and may not be visible to all users.
- Review the Roster Summary: Click the Roster Summary icon (typically the third feature button from the left in the roster header) to see an overview of Employee costs and total hours per employee.
- Identify Alerts:
- Look for shifts marked in Red in the Overtime column or roster view; these indicate shifts that have exceeded standard hour thresholds (e.g., the 76-hour mark) and are incurring penalty rates.
Troubleshooting Compliance Issues
If costs are appearing incorrectly or penalty rates aren't triggering as expected, check the following configurations:
- Award Rules: Ensure the start and end times for "Ordinary Hours" are correct for each employment type.
- Penalty Percentages: Verify that the percentage of the hourly base rate (e.g., 50% for a x1.5 rate) is correctly entered in Rules, Allowances & Leave.
- Employee Profiles: Confirm the employee is assigned to the correct Award Classification and Level
