How to Complete and Submit Your Timesheet.
A step-by-step guide to finalizing your hours for payroll.
Managing your weekly hours and ensuring accurate time tracking is essential for receiving on-time payments. This article provides a clear process for employees to complete and submit their timesheet within the Platform for Care system.
Overview of Timesheets
Platform for Care records all your worked shifts to generate accurate timesheet reports. These records include essential information such as the date the shift took place, the service provided, your hourly rate, and total hours worked.
Step-by-Step Submission Process
To ensure your hours are processed for payroll, follow these steps to finalise your shifts:
1. Access Your Timesheet
Navigate to the Timesheet item in the main menu to view records of your worked shifts.
2. Review Your Shifts
Filter by the relevant date range to review your completed shifts. Check that the following details are correct for each entry:
- Service: The specific department or location where you worked.
- Timing: The exact start and end times of the shift.
- Kilometres: If you used your own vehicle, ensure any kilometre charges have carried through correctly.
3. Shift Completion Requirements
Before a shift can appear on your final timesheet for approval, it must be marked as "Complete" in the roster. When completing a shift, you may be prompted to enter additional information:
- Overlap Minutes: If applicable, confirm the number of overlap minutes for the shift.
- Kilometre Billing: Confirm if you used your own vehicle, the distance travelled, the destination, and the reason for travel.
- Sleepover Disturbance: If completing a sleepover shift, you must enter any disturbance time in minutes.
4. Approve Your Shifts
Once reviewed, you must approve your shifts to move them toward the payroll phase.
- Tick the box in the Approve column for the relevant shifts.
- The shift status will update to show it is ready for manager review and final payroll processing.
Troubleshooting & FAQs
What if my shift times are incorrect? If you disagree with the recorded shift times, you must amend them or contact your administrator to update the shift before final approval.
Why are my shifts showing in two separate entries? If you exceed a 76-hour limit in a fortnight, the system may break the shift into two entries: one for hours up to the limit (Normal rate) and one for hours exceeding it (Overtime rate).
I can't find a shift in my timesheet. Ensure the shift has been published by your administrator (marked with a 'P') and that you have officially completed it in the roster
