How to Update Your Availability (Mobile App)

Managing your recurring schedule and one-off unavailability on the go.

Keeping your availability updated in the Platform for Care app is the best way to ensure you are rostered for shifts that work for you. When your availability is accurate, coordinators can only assign you to shifts during your "Free" windows, and the system will automatically alert them if they try to book you when you are busy.

1. Navigating to Availability

The availability module is housed within your personal profile settings.

  1. Open the Platform for Care app.
  2. Tap the Profile icon (usually your initials or a silhouette) or select Profile from the main menu.
  3. Select the Availability tab from the sub-menu.

2. Setting Recurring Weekly Hours

"Recurring" availability defines your standard working week. These are the hours you are typically available every Monday, Tuesday, etc.

  1. Select a Day: Tap on a day of the week (e.g., Monday).
  2. Add Time Slot: Tap the "+" icon or Add Availability.
  3. Enter Times:
    • Start Time: The earliest you can work.
    • End Time: The latest you can work.
  4. Recurring Toggle: Ensure the Is Recurring switch is ON.
  5. Save: Tap Save. This time slot will now apply to every Monday moving forward.

3. Adding One-Off Unavailability

If you have a specific event—like a dentist appointment or a family birthday—you can block out that specific date without changing your permanent weekly schedule.

  1. On the Availability Calendar, tap the specific date you need off.
  2. Tap Add Unavailability.
  3. Specify Times: Enter the hours you will be busy (e.g., 10:00 AM to 1:00 PM).
  4. Recurring Toggle: Ensure the Is Recurring switch is OFF.
  5. Comment: Add a note like "Medical Appointment" for your manager's reference.
  6. Save: This date will now appear red or "Blocked" on the manager’s roster for that week only.

4. Submitting for Approval

Changes to your availability often require manager oversight to ensure service continuity.

  1. Once you have finished your edits, look for the Submit for Approval button at the bottom of the screen.
  2. Status Check: Your availability will show as Pending (Yellow) until reviewed.
  3. Approval: Once your manager approves the changes, the status will switch to Approved (Green), and you will receive a push notification.

Important App Tips

  • The "All Day" Switch: If you are available for a full 24 hours, use the All Day toggle rather than entering 12:00 AM to 11:59 PM.
  • Overlapping Shifts: The app will not allow you to mark yourself as "Unavailable" for a time period where you already have a Published shift. You must contact your coordinator to discuss that specific shift first.
  • Visual Legend:
    • Green/Blue: You are available to work.
    • Red/White: You are unavailable/busy.
    • Yellow: Changes are waiting for manager approval.
