Invoicing: How to Provide and Request Invoice Copies

What should I do if I am asked for an invoice copy?

If you are asked to provide an invoice copy, send the invoice as soon as possible and make sure it matches the approved timesheet details. If you are registered for GST, you may be eligible to use an RCTI instead of submitting your own invoice each time payment is due.

How do I provide an invoice copy?

  1. Prepare the invoice for the relevant timesheet period.
  2. Ensure the invoice matches the approved timesheet details.
  3. Send the invoice before payment is due to avoid delays.
  4. If requested, attach the invoice directly to the email rather than sending only from an accounting platform.
  5. If you use an accounting platform, you can still attach the invoice to the email for easier processing.

What should the invoice include?

The invoice should include:

  • Your company name and address
  • Your ABN
  • Invoice number
  • The dates covered by the invoice
  • Daily or hourly rate
  • Total amount payable

Can I use an RCTI instead of sending my own invoice?

If you are registered for GST, you can receive an RCTI instead of providing a company invoice each time payment is due. The RCTI can be accessed in the portal to view, print, or download at any time, including after the contract has ended.

What happens if I do not send an invoice?

Payment cannot be processed until the invoice has been received. Sending the invoice before the payment due date helps avoid delays.

What if the invoice cannot be located?

If an invoice is difficult to find, resend it as an email attachment. Including the attachment directly in the email helps with future searching and processing.
